Special Event Internship, Convention & Tradeshow Coordinator, Orlando, FL

For over 20 years, Florida Festivals & Events Association (FFEA) has been promoting and strengthening the festival, event and fair industry in Florida. FFEA currently supports more than 500 event industry professional members who collectively represent 3,500 events. 

The 22nd Annual FFEA Convention and Trade Show will take place August 9-12, 2016 at the Hyatt Regency Grand Cypress in Orlando, FL. It will provide unmatched educational and networking opportunities.

This 3-day high quality event will attract over 300 event planners, producers, suppliers and sponsors. Three half-day seminars and 40 educational breakout sessions will provide attendees with proven methods and new ways on how to manage and grow their events. A trade show, featuring 60 event suppliers showcasing their most up-to-date products and services, will be open all three days.

 

Job Summary:We are looking for a total of 3 Convention Coordinators. The Convention Coordinators will work directly alongside the Executive Director to produce the event in its entirety.  Each coordinator will be responsible for three conference committee assignments and will focus specifically on those committees, along with a group of Event Planner Volunteers. The committees include: Educational Program & Speakers, Tradeshow, Entertainment Showcase, Marketing, Silent Auction, Awards Program, Registration, Hospitality and Sponsorship.

 

Responsibilities May Include (but are not limited to):

  1. Management of all program speakers including coordination of scheduling, travel logistics and printed materials.
  2. Coordination of Live Entertainment Showcases during the event and all pre-conference promotion of showcases.
  3. Management of Tradeshow including exhibitor registration, layout, preconference communication and onsite setup and execution.
  4. Promotion of conference through Marketing Plan.
  5. Coordination of Silent Auction to raise funds for Scholarship Fund.
  6. Oversight of Awards Program application, judging and distribution process.
  7. Oversight of event registration and attendee materials to be distributed during registration.
  8. Sponsorship Fulfillment including signage, logo placement, speaking opportunities, collateral distribution.
  9. Logistics coordination with onsite venue manager during the event
  10. Mobile app creation and data input.
  11. Complete miscellaneous duties as assigned.

Requirements:  Must be highly organized and demonstrate excellent oral and written communication skills. Knowledge of event management is highly desirable. Computer literacy is essential.

Hours:  An average of 20 hours per week are required and this is a 2 semester internship (Spring and Summer). Actual shift times are very flexible depending on the individual’s schedule and a large portion of the hours will be done from a home office. As an intern for the FFEA Convention and Tradeshow it is required that you be a present during the entire event from August 8-12, 2016.

Compensation: This is an unpaid internship with a cash stipend available based on performance upon completion.
