Job Title:        Events Assistant

Reports To:    Events Director

FLSA Status:  Non-Exempt

Department:  Events

 Summary:  The Events Assistant assists the Events Director with in the execution of the company’s signature events in terms of sales, planning and on-site execution. This position involves assisting with all administrative functions, sales packaging as well as handling on-site event responsibilities.

 Primary Responsibilities:

  • Planning and executing events/shows.
  • Working shows, setting up shows, creating ideas for shows.
  • Sales Sponsorship Project – full coordination, organization and managing of this project all year long.
  • Sales Prospect Project – full coordination, organization and managing of this project all year long.
  • Create, revise and develop sales package for all the sellers.
  • Find and coordinate programming elements for events.
  • Create and execute sponsorship re-caps for all sponsorships after each show.
  • Assisting with all event clerical work: faxes, emails, phone calls, database management, paperwork, running errands, filing, etc.
  • Find, organize and manage trade accounts/clients.
  • Assist and work set-up, day of show and breakdown for all events.
  • Update all event websites with content.

 Important Notes:

  • This position requires you to be a self-starter and we encourage you to notice areas that can be improved upon and work toward the betterment of the department and events. 
  • It is critical that you own or “run with” ideas after meeting with event manager.
  • Prioritize your projects with clear expectations from Events Manager on what needs to be done and when the project should be completed.
  • Apply time management skills to all projects.
  • We expect your full-time commitment and best effort every day.
  • Be open about your time and effort – we operate with 100% Transparency.
  • Be busy all the time… when you have down time, find something to do.
  • This position is Monday – Friday 8:30am to 5:30pm.
    • Hours vary depending on event schedule.
    • Some weekends and nights are required for scheduled event dates.
  • Meetings: Sales Meeting every Tuesday from 8:30am to 9:30am and One-on-one every Monday 10:00am to 10:30am with Events Manager.

Vice President, Major Gifts & Planned Giving

United Way of Broward County is seeking a senior level development professional to lead our successful Major Gifts & Planned Giving program. This individual must be passionate about the fundraising profession and United Way.  Through proactive efforts to engage donors, and in a highly collaborative and rapidly expanding development environment, the Vice President, Major Gifts & Planned Giving cultivates and solicits major and planned gifts both independently and in coordination with the Vice President, Workplace Campaign and their development staff.
This position is externally focused and primarily responsible for completing discovery and qualifying visits with loyal donors and developing solicitation strategies for planned gifts.

 Duties and Responsibilities include:

  • Manage major gifts and planned giving program, including
  1. Cultivation, solicitation and stewardship of existing major and planned giving donors  
  2. Identification and solicitation of new major gifts, endowment gifts and planned gifts for UWBC.
  3. Growth of endowment fund
  • Manage Tocqueville Society major donor program to include:
  1. Cultivate, solicit and steward existing Tocqueville Society donors and prospective donors
  2. Management of Tocqueville Society Co-Chairs and Cabinet
  3. Ensure partnership with Campaign team for penetration of workplace firms/corporations with Tocqueville Society engagement opportunities
  • Provide strategic leadership to organization
  1. Work with Community Impact to gain full understanding of our products in order to provide customized investment options for donors
  2. Represent the view of our individual donors as our strategic plan continues to develop
  • Retain and cultivate a personal portfolio of planned giving prospects and donors to steward their current and long term relationships with United Way.
  • Schedule and conduct regular face-to-face visits with current and potential leadership & planned gift donors and prospects. .
  • Focus on high potential Loyal Contributor’s to encourage current and deferred planned gifts.
  • Utilize staff and volunteer resources to enhance philanthropic gift opportunities and increase donor engagement and recognition opportunities. 
  • With assistance from Administrative Assistant, consistently document key conversations with donors and other pertinent information into the prospect management database.
  • Actively engage donors and prospects through a full complement of events designed to cultivate and enhance those relationships and the value of their leadership & planned gifts to United Way’s long-term mission and goals.
  • Provide consistent follow-up post events to secure commitments or move relationship forward.
  • Manage Tocqueville Society donor stewardship processes and activities to include:
    -Pledge and designation processing
    -Acknowledgments, robust thank you program and Charitable Gift Summary reports

-Personal contact and personal meeting

  • Partner with marketing to develop all communications, including solicitations, newsletters and correspondences for Tocqueville Society donors and planned giving donors
  • Partner with Volunteer Engagement staff to create, execute and oversee volunteer engagement plans for Tocqueville Society members that further the mission of United Way of Broward County.

Education and Experience

  • Bachelor’s Degree with a minimum of 7 years of progressive experience in fundraising or community outreach / sales in a corporate environment with at least (5) years at a senior level of management
  • Experience working with high end donors/clients required.
  • Administrative and supervisory experience working with volunteers and staff supervision a must.
  • Computer proficiency required in customer relationship management systems, Microsoft Office software programs, and electronic giving and information exchange.
  • Work experience in a non profit environment and knowledge of United Way Operations preferred.
