Job Title:        Special Events Manager
Department:  Development
Reports To:    Director of Development & Marketing
FLSA Status: Exempt

Work with Director of Development in all aspects of development and fundraising activities. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other
duties may be assigned. 

  • Manage major fundraising events, including but not limited to:  Christmas Ball; Patrons & Benefactors Reception; Publicity Hound, Off the Leash, Walk for the Animals, Blessing of the Animals and other major donor cultivation and recognition events.
  • Assist with all aspects of fundraising & marketing activities including cultivating current relationships with donors, forging new relationships with prospective donors and sponsors
  • Negotiates and manages vendor contracts for events
  • Develop and manage all aspects of the budgets as it relates to community special events and event marketing material
  • Direct and manage all staff and volunteers at special events
  • Manage on-line and off-line donations as related to special events and activities
  • Relay information to website manager to be posted on website and social media sites
  • Manages and collects donation items from businesses such as gift cards and silent auction items
  • Represent the League at public and private events
  • Manage special projects crossing a number of departmental lines

  • Experience in special event fundraising including planning, production, and management
  • ·       Must support the Animal Rescue League’s mission, policies and practices.
  • ·       Must be able to provide accurate information to the public at all times.
  • ·       Must be able to provide the image consistent with the League values and goals as well as have the ability to deal tactfully and effectively with the public.
  • ·       Must be willing to participate in meetings with management, Board, and shelter staff, to share ideas and suggestions designed to improve the organization's ability to meet its objectives.
  • Position requires some nights and weekends as related to special events and activities
  • Demonstrated ability to communicate in written and verbal format
  • Must have reliable transportation to events and meetings
  • Must be well organized, flexible, a self starter, and work well under pressure
  • Must have supervisory experience
  • Computer proficient
  • Possession of a valid Florida Drivers license and driving record acceptable to insurance carrier
  • Bachelors Degree with three to five years related experience and/or training; or equivalent combination of education and experience
  • Non-profit and gala experience preferred


Computer experience with data base management and publishing programs

  • Microsoft Word and Excel
  • Raiser’s Edge Knowledge a plus

Event Manager Job Description


Responsible for creating, managing and executing events and ensuring deadlines and budgets are adhered to.

 Primary Responsibilities

  • Development, production and delivery of projects from proposal right up to delivery.
  • Responsible for event coordination activities.
  • Delivering events on time, within budget, that meet (and hopefully exceed) expectations.
  • Coordinate details of events such as festivals, charity events, trade shows and virtual events.
  • Direct coordination of activities to prepare for the day of the event.
  • Setting, communicating and maintaining timelines and priorities on every project.
  • Knowledgeable of proper event procedures.
  • Manage and maintain a budget.
  • Manage and maintain an event binder with contracts
  • Calculate budgets and adjust when necessary.
  • Book venues and negotiate fees.
  • Communicating, maintaining and developing client relationships.
  • Managing supplier/vendor relationships.
  • Hire vendors and contractors and negotiate fees.
  • Work with music artist and artist management to make sure all requests are met.
  • Drive attendance to the event with grass-roots marketing: social media, flyers, local events, media partnerships, chamber partnership and more.
  • Promote the event using flyers, cold calling, and social media as examples of ways to spark attention.
  • Analyze event performance and prepare event presentations.
  • Ensure staff is adequately prepared for event.
  • Pay vendors for their participation in the event.
  • Provide receipts if needed.
  • Ensure day of event goes smoothly.
  • Design floor plan for vendors and sponsors.
  • Set up booths, decorations, and other event decor.
  • Ensuring excellent customer service.
  • Creating event proposals.


$35,000 with bonus opportunity.

  • Proficient in Excel, Word, PowerPoint (Microsoft Office).
  • Proficient in Outlook.
  • Minimum 2 years’ experience with Events Coordination.
