Plant City Chamber of Commerce - Event Planner

Basic Function
To oversee the events of the Chamber and to ensure the highest value to both attendees and sponsors. We are looking for a successful and enthusiastic event planner to produce events from conception through to completion. Event coordinator responsibilities include providing outstanding customer service and organizing memorable events that meet quality expectations, as well as managing current events, and developing new events for the good of the membership.
Primary Responsibilities
▪ Oversee all aspects of Chamber events including; but not limited to:
1. Annual Chairman’s Banquet
2. Annual Business of the Year Banquet
3. Monthly Networking Lunches
4. Business After Hours Events
5. New Teacher Coffee
6. Planes, Trains and Automobiles
7. The Annual Plant City Pig Jam
8. Annual Board Retreat
9. Strawberry Festival booth management
10. New events as developed
▪ Develop RFP’s and accurate affiliation records for all services related to work assignments.
▪ Assist with reservations for assigned Chamber events, insure proper payments and logging within the Chamber Master system.
▪ Provide appropriate counts to venues, volunteer and staff support, set up/tear down of signage, marketing materials, etc. as directed.
▪ Manage registration at various Chamber events ensuring proper sign-in, payments and nametag distribution.
▪ Assist in developing and coordinating event and program promotions including signage, flyers, invitations, etc.
▪ Complete any other duties related to the business of the Chamber, including but not limited to, offering assistance to fellow team members toward the ultimate goal of providing added value to the members of the Plant City Chamber of Commerce.
Core Competencies
▪ Education: Bachelor’s degree in Business, Communications or a hospitality related field, or 5+years of equivalent experience
▪ Professional: 2+ years’ experience in a hospitality, public relations, event planning, or related field
▪ Personal: Excellent communication and organizational skills, working knowledge of media and social media outlets, ability to produce creative promotional material, multi-task and meet both short and long term deadlines. Willingness to learn new skills and adapt to growing/evolving job responsibilities.
▪ Mental: Ability to be creative, proactive and outgoing. Must be a team player - but have the ability to work independently
▪ Computer competencies: Microsoft Office (Word, Excel, PowerPoint, Outlook, Publisher)

Program Manager - Deliver the Dream

Deliver the Dream provides structured, therapeutic, fun activities for families experiencing a serious illness or crisis on a three-day, two-night retreat weekend experience. Each retreat is geared towards a specific illness/crisis such as autism, spina bifida, epilepsy, cerebral palsy, multiple sclerosis, craniofacial conditions, death of a loved one, Down syndrome and cancer. On these retreats, families will participate in structured activities such as assorted recreational indoor and outdoor activities, discussion groups, interactive games, creative workshops, and team building exercises. These activities are designed to have a positive outcome that transforms families coping skills; improves communication between their family; and strengthens the bonds between each family and each family member. This therapeutic retreat will also provide families with resources and an opportunity to network with other families dealing with a similar situation.
When one person in a family is ill, whether that person is a child or an adult, the entire family is impacted. Challenges associated with illness can tear families apart and rob children of their childhood. While there are over 350 special needs camps in the U.S. serving children with serious illness, there is a huge deficit in programs that address the needs of the entire family unit. When considering a treatment plan for a patient, the medical community is now placing more emphasis on the importance of addressing the needs of that patient's entire family. However, little is being done at this time to provide this kind of crucial support.
The Program Manager is ultimately responsible for the overseeing and planning of the Deliver the Dream Family Retreat Weekends. A minimum of 10 weekend retreats (3 days & 2 nights) are planned over the calendar year; these retreats take place throughout the state of Florida. Candidate must be a team player and a self-starter. Must enjoy working with children and families.
Title: Program Manager Reports to: Executive Director
- The Program Manager position requires a BS or BA degree from an accredited college and requires weekend travel throughout the year. A degree in Social Work, Psychology, Recreational Therapy, Child Development or a related field is preferred.
- Minimum of two years work experience in program management, preferably in a healthcare, not for profit or a camp setting.
- Prior experience in planning and event coordination.
- Excellent communication skills.
- Knowledge and understanding of the specific diagnoses/populations Deliver the Dream works with.
- A high level of computer aptitude and a working knowledge of social media is necessary.
- Any knowledge of Photoshop, database and website management software is a plus.
- Must work every retreat weekend plus the ability to work non-retreat weekends and nights as needed.
- Heavy lifting is required.
- Maintains strong relationships with current healthcare partners and continues to outreach in the community to find future partnerships.
- Recruits families to attend each Deliver the Dream retreat.
- Conducts over the phone interviews with potential retreat families.
- As needed, develops and updates Deliver the Dream program materials including informational brochures, retreat packets, the website and other various application forms.
- Prepares statistical reports.
- Assists in the grant application process.
- Hires and supervises the Events Coordinator, contract facilitators, interns, and vendors.
- Has a working knowledge of organizations budget.
- Assists at all special events.
