Thank you for registering for the Florida Festivals and Events Association Annual Convention and Expo. We are delighted that you will be joining us at the beautiful Renaissance Orlando Sea World.


Prior to completing this acknowledgement form, please review the Exhibitor Manual in full detail. Should you have any questions at all please don’t hesitate to contact our office at 407.203.1334.

Once you have reviewed the manual, complete the acknowledgement form and questionnaire below. The insurance certificates that are outlined in the agreement are due to our office no later than July 29th. If you don't have the COI available now, you can still complete this form and then email your COI's to eugenia@ffea.com by the due date.

Are there specific events, individuals or organizations that you are interested in meeting or seeing while at the conference? If so please list them below so that our Ambassador committee can assist in making these connections when possible.

Q2

Some of our exhibitors like to do a drawing or register to win for a prize at their booth. We have a designated time dedicated on the tradeshow stage for exhibitors to use the microphone to do their drawing. Please indicate below if you plan to do a drawing , what the prize would be and if you would like to do it from the stage (on Thursday, August 6 at 12:45pm).

For returning exhibitors only – are you interested in volunteering as an Ambassador for a First Time Attendee? FFEA will pair you with someone who is attending the conference for the first time. We ask that you reach out to them prior to the conference to introduce yourself and then meet up with them while at the conference. This is a great opportunity to meet new attendees!

FFEA offers some exhibitor upgrade opportunities. Please check the box for any you are interested in and our committee will reach out with more details. (checking the box does not commit you – it simply indicates you are interested in hearing more).
Upgrades:

I understand that the FFEA convention & Tradeshow is taking place at the Luminary Hotel & Caloosa Sound Convention Center, August 4-6, 2026 and that I must be there the entire time.

I understand that the Exhibitor Load in is on Tuesday, August 4 beginning at 9am and that I must be set by the 3:00pm.

I understand that the Exhibitor Load out is on Thursday, August 6 beginning at 1:45pm and that I may NOT tear down my booth prior to then.

I understand that I am responsible for ordering all utilities and/or labor fees that I may incur while onsite at the show and that I Am fully responsible for the set-up, security or items and care taking of my booth at the event.

I understand that I am responsible for all additional rentals above that which is included in the Exhibitor Booth Package.

I understand that I am responsible for shipping and receiving fees for anything shipped directly to the hotel and payment is due to the hotel for these items and that Items shipped to the hotel will not be released to me prior to payment for said fees.

I understand that I am responsible for obtaining and providing a Certificate of Insurance naming Florida Festivals & Events Association and Luminary Hotel as Certificate Holders, two weeks prior to the event.

I will be onsite or assure anyone attending in my place is fully informed of the matters.

I have read the rules, regulations and policies of the show.

I agree to and understand the following:
FFEA reserves the right to change the conference/workshop content, timing, speakers or venue without notice. The event may be postponed or cancelled due to acts of terrorism, war, extreme weather conditions, industrial action, less than expected delegates or any event beyond the control of FFEA. If such a situation arises, FFEA will endeavor to reschedule the event; however, FFEA cannot be held responsible for any cost, damage or expenses which may be incurred by the registrant as a consequence of the event being postponed or cancelled. Some registrants consider travel insurance to cover the cost of the registration, travel and expenses for these types of situations.

FFEA is not responsible for any registrant’s personal injury (i.e., physical, psychological, or emotional stress) or property damages while attending a FFEA conference or event. Conference registrants assumes all risks inherent in attending a FFEA conference for which the registration covers, whether before, during or after the conference.

Exhibitor agrees to defend, indemnify and hold FFEA harmless from and against all claims, costs, losses, expenses, damages, actions, causes of action and/or liabilities, including reasonable attorneys' fees, arising out of or resulting from any negligent act undertaken or committed by Exhibitor, except for those actions or liabilities which are due to the misconduct or negligence of FFEA.
